Who we are

Aeya is a UK property platform that helps people buy, sell and look after their homes. Aeya is operated by Casa Vista Ltd, registered in England and Wales (company number 15800686). Registered office: 3rd Floor, 86-90 Paul Street, London, EC2A 4NE. Casa Vista Ltd is the data controller, which means we are responsible for the personal information described in this notice. You can contact us at hello@aeya.co.uk.

What we collect

When you join the waitlist or contact us:

  • your name and email address
  • whether you are looking to buy, already own your home, manage several properties or rent
  • anything you write in a message, and a phone number or company name if you choose to give one

When you create an account:

  • your name, email address and profile picture, from the sign-in provider you use
  • details you add to your profile, such as your phone number, your role in a property transaction, or professional details if you work in property

When you use Aeya:

  • properties you save or add, including addresses
  • documents you upload or forward to us by email, and information we read from them
  • your progress through buying or selling journeys, viewing notes and calendar events
  • vehicle registrations you add, so we can look up MOT and tax dates
  • home records such as warranties, insurance, maintenance and tenancy details
  • the email addresses of people you invite to share a property
  • messages you send to our AI assistant, MAISON

Automatically, when you visit:

  • which pages you visit and what you click, the device and browser you use, and basic performance information
  • recordings of how you move around the site, used to find and fix problems. Anything you type into a form field is hidden in these recordings

How we use your information

  • to provide your account and the features you use, such as storing documents, tracking your journey and sending reminders you have set
  • to answer your questions through MAISON, using the properties, documents and journey progress in your account so its answers are relevant to you
  • to read documents you upload and pull out the useful details, such as dates and amounts
  • to tell you about Aeya if you joined the waitlist
  • to reply when you contact us
  • to understand how the site is used so we can fix problems and improve it
  • to keep Aeya secure and prevent misuse

Our legal basis

UK data protection law requires us to have a legal reason for using your information. We rely on:

  • contract: where we need the information to provide the account and features you have asked for
  • legitimate interests: to keep the service secure, understand how it is used and improve it, where this does not override your rights
  • consent: where you have agreed, for example to hear from us about Aeya. You can withdraw consent at any time

Who we share it with

We do not sell your personal information. We use trusted service providers to run Aeya, and they may only use your information to provide their service to us:

  • Vercel, which hosts the website
  • Supabase, which runs our database in Ireland
  • Cloudflare, which stores the files you upload
  • Kinde, which handles signing in
  • PostHog, which provides our analytics and session recordings, and also receives the questions you ask MAISON and its answers so we can monitor quality and performance, hosted in the EU
  • Google, which provides Google Analytics and Google Tag Manager, only if you allow analytics
  • AI providers, currently OpenAI, which power MAISON and read the documents you upload
  • Resend and Postmark, which send our emails and receive documents you forward to us
  • Formspree, which receives waitlist and contact form submissions
  • the DVLA, when you add a vehicle registration
  • property data providers, when you search for properties

Some of these providers process information outside the UK. Where they do, we rely on the safeguards UK law requires, such as UK adequacy regulations or the International Data Transfer Agreement.

We may also share information if the law requires it, or to protect the rights and safety of our users or others.

Cookies and similar technology

  • sign-in cookies, which keep you logged in. These are needed for your account to work
  • analytics cookies and browser storage from PostHog and Google Analytics, which tell us how the site is used. These are only set if you choose "Allow analytics" when we ask
  • browser storage on your own device, which remembers things like properties you recently viewed and your preferences

We ask before setting analytics cookies, and nothing is recorded until you agree. To change your answer, clear this site's data in your browser settings and we will ask again. You can also block cookies in your browser settings. If you block sign-in cookies, you will not be able to use your account.

How long we keep it

We keep your account information for as long as you have an account. When you delete your account from your profile settings, we delete your Aeya profile and the records stored with it, including your properties, journeys, vehicles and home records, and every file you uploaded, including documents in your property files, files attached to surveys, viewing notes and seller enquiries, and documents you forwarded to us by email. Some things are not removed automatically: your sign-in account with our login provider, analytics data, and any waitlist or contact form submissions. Email hello@aeya.co.uk and we will delete those too. Some information may be kept for longer where the law requires it, or in backups until they are replaced.

Waitlist details are kept until Aeya launches to you or you ask us to remove them.

Your rights

You have the right to:

  • access the personal information we hold about you
  • have inaccurate information corrected
  • have your information deleted
  • restrict or object to how we use your information
  • receive your information in a portable format
  • withdraw consent where we rely on it

You can delete your account from your profile settings, and export your home records from Settings. For anything else, email hello@aeya.co.uk. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

Changes to this notice

We will update this notice when the way we use your information changes. The date at the top shows when it was last updated.
